1. Assess Infrastructure and Amenities
That dreamy barn or open-air vineyard may look stunning in photos, but does it have the basics? Think restrooms, climate control, a prep area for catering, and proper lighting. If not, you’ll need to budget for rentals like portable restrooms, heaters, or a generator to power those twinkling lights.
Jenna Miller, Creative Director for Here Comes the Guide shares, “Some venues provide the space only: we’re talking 4 walls, a ceiling, and the floor. This means you’ll have to essentially build your event from the ground up, bringing in everything from tables and chairs to generators, heaters, kitchen equipment, and even portable restrooms! This could lead to extra expenses that may not have been included in your original budget.”
2. Understand Legal Requirements and Permits
Not every gorgeous location is wedding-ready in the eyes of the law. Check for any necessary permits or noise ordinances before committing. Some venues may not be zoned for large events, and the last thing you want is to get shut down before the party starts.
“Often, proprietors of non-traditional venues are not even cognizant of local zoning and fire code rules,” shares Steve Robertson, CEO, Eventective.com. “Make sure that you know that the number of your wedding guests and how you are planning to celebrate meet the rules of the local municipality. Things like handicap accessibility and fire exits can also be things that are not of primary importance to a non-traditional venue, but should be important to you!”
3. Consider Accessibility and Guest Comfort
A mountaintop ceremony sounds ultra-romantic—until you realize Grandma can’t make the hike. Consider how easy it is for guests to get to your venue and whether there’s enough parking, seating, and shade to keep everyone comfortable from “I do” to the last dance.
“Knowing what kind of events have taken place at your non-traditional venue will help you understand how your wedding can be pulled off without a hitch,” shares Steve Robertson, CEO, Eventective.com. “Check out Yelp or Google Reviews if there are any, and do some research on the proprietors of the venue, so there are no surprises when it comes to the type of people you will be partnering with.”
4. Evaluate Vendor Flexibility
Some venues come with a roster of required vendors, while others let you bring in your own dream team. Find out if you have the freedom to hire your favorites or if you’ll need to work within the venue’s preferred list. Also, ask about load-in/load-out times—some venues have strict rules that could impact your setup.
5. Plan for Décor and Setup Logistics
A blank slate venue is a double-edged sword—it’s full of creative potential but may require a lot more work (and budget) to bring your vision to life. Make sure you factor in rentals, florals, and additional décor needs, plus any time constraints for setting up and breaking down.

Frankly, they all end up looking the same! Non-traditional venues always lend themselves more event creativity. Think about having an entirely blank canvas to build out your dream wedding from scratch and make it uniquely yours. Plus, there’s an element of historic charm that you just can’t quite pass up”
6. Verify Insurance and Liability Coverage
You might not want to think about what could go wrong, but liability insurance is a must. Some non-traditional venues don’t have built-in coverage, so you may need to purchase event insurance to cover accidents, weather-related issues, or unexpected mishaps.
If your location of choice doesn’t typically host weddings, there may be a few extra restrictions like possible noise ordinances, an earlier-than-desirable curfew, décor limitations, or minimal time for setup. Jenna Miller, Creative Director, Here Comes the Guide shares, “You may also need to purchase your own liability insurance, or a permit to get married there. Check with your site contact on the logistics, or hire a wedding planner that can do all the research for you!”
7. Assess Technical Needs
Live band? Custom neon signage? A killer lighting design? Make sure your venue can handle your technical needs. Check if there’s sufficient power for your entertainment, additional lighting, and sound equipment—or if you’ll need to bring in extra generators or sound systems
Many non-traditional wedding venues like barns and warehouses may have terrible lighting and no heat or air conditioning. Jenna Miller, Creative Director, Here Comes the Guide shares this helpful tip, “Make sure to do your site visit during not only the time of day your wedding will take place, but if possible, also around the same time of year. You’ll want to gauge what the lighting and temperature will be like so you can plan accordingly by bringing in your own special event lighting, heating lamps, or AC units.”
